Birchable is run by THT Productions Pty Ltd (ABN 61 693 659 853) ("we", "us"). This page says what we collect, what we do with it, who else handles it, and how you can ask us to delete it. It covers this website and the Birchable app.
If you only joined the early access list, the short version is this: we keep your name, your email and what you told us you would use Birchable for, so we can tell you about Birchable. We do not sell it or share it with anyone for their own use.
What we collect
If you join the early access list: your name, your email address, and the one optional line you wrote about how you would use Birchable.
If you visit this website: our hosting provider records the technical details of each request, such as your IP address, the page you asked for and your browser. The public pages set no advertising or tracking cookies. The Birchable app uses one cookie to keep you signed in, and remembers your light or dark choice in your browser.
If you use Birchable: your name and work email from Google when you sign in, and what you and your workspace put into Birchable: contacts, companies, deals, tasks, notes, files, messages and settings.
If you connect an account. You choose what to connect, and you can disconnect it at any time.
- Gmail: we read your mail so you can search it, read it and link it to records in Birchable. When you press a button, Birchable can also change labels, archive, mark as read, star, move to Trash, save a draft or send an email as you from your own address. It does not send anything on its own.
- Google Calendar: we read your events. When you press a button, Birchable can create, move or update an event you organise, and tell the guests if you choose to.
- Xero: we read invoices, bills, bank transactions, contacts and reports. If your workspace owner turns it on and you press Apply, Birchable can change the account code, tax type or tracking category on a line of an existing document. It never creates, deletes, voids, approves or pays anything and never changes an amount, date or contact.
- Other connections a workspace turns on, such as payments, meeting notes or contact details lookups, read only what that connection provides.
What we do with it
We use it to run Birchable for you: to show you your own information, search it, link it together, remind you, and carry out what you ask.
Where a feature uses AI, we send the AI provider the text it needs to do that one job, such as an email you asked it to summarise or reply to. AI can be wrong, so Birchable shows you what it drafted and you decide what to send or save.
We do not sell your information. We do not use it for advertising. We do not use information we receive from Google to train AI models.
Birchable's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Who else handles it
We use these providers to run Birchable. They handle your information only to provide their service to us.
| Provider | What for | Where |
|---|---|---|
| Supabase | The database, which holds your records and files, and sign-in | Sydney, Australia |
| Vercel | Hosting the website and the app | Sydney, Australia |
| Sign-in, and the Gmail and Calendar connections you choose | Google's own locations | |
| Xero | The Xero connection you choose | Xero's own locations |
| Amazon Web Services (SES) | Sending email for a workspace that has set up its own sending domain | Sydney, Australia |
| AI providers: Anthropic by default; OpenAI, Google or xAI where a workspace chooses; OpenAI for turning voice into text | The AI features you use | The provider's own locations, which can be outside Australia |
When a feature uses AI, the text it needs is sent to the provider to produce the result, and the provider handles it under its own terms: Anthropic, OpenAI, Google and xAI. A workspace chooses which of them it uses. Information sent to a provider outside Australia is handled under that provider's terms.
We may disclose information if the law requires it.
Where it is kept
Birchable's database (records and files) and hosting are in Sydney. The exceptions are the providers in the table above that run in their own locations.
Keeping it safe
Each workspace's information is separated from every other workspace's at the database, so one workspace cannot read another's. Connections to Google and Xero use your own permission, which you can withdraw in your Google or Xero account. Access to Birchable is by sign-in only.
Deleting your information
We keep your information for 30 days after your account closes, then delete it. Backups age out on their own schedule, so a copy can remain in a backup for a while after that and is not used. To have it deleted sooner, write to us at support@tht.productions and we will delete what we hold about you, or tell you what we must keep and why. You can also ask to see what we hold, or to correct it. If you use Birchable through your employer, your employer decides what its workspace keeps, and we will pass your request to them.
Your rights and complaints
We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth). If you are not happy with how we handled your information, write to us first. You can also complain to the Office of the Australian Information Commissioner at oaic.gov.au.
Changes
If we change this page in a way that matters, we will change the date above and tell people who use Birchable.
